Connect VenueBill to ChatGPT or Claude
Connect your venue account, choose permissions, ask about events and balances, and disconnect.
4 min read
VenueBill is a booking and billing platform for wedding and event venues.
What the connection can do
A VenueBill connection lets your assistant search client names and emails, list event dates and statuses, find unpaid or overdue invoices, and read contract text and signature status. If you approve draft access, it can save an unsent invoice for you to review in VenueBill. It cannot send documents, charge a card, refund a payment, sign a contract, confirm a booking, or delete records.
Before you connect
Use a verified VenueBill workspace owner account. Team members cannot connect a shared workspace. Reading existing records remains available after a trial expires; creating an invoice draft requires an active trial or paid plan. Your assistant must support custom remote MCP connections, which can depend on its plan and workspace settings.
Set up a custom connection
- 1
In ChatGPT, open Plugins and choose Add custom MCP server. In Claude, open Settings, then Connectors, then Add custom connector. Menu names can vary by plan and release.
- 2
Enter https://api.venuebill.com/mcp as the server URL and use OAuth authentication. No VenueBill API key is required.
- 3
Sign in to VenueBill. Check the application name and callback host, then approve read access. Invoice draft access is optional and off by default.
- 4
Return to your assistant and ask a question. A custom connection can be used independently of directory publication.
Questions to try
- 1
Which invoices are overdue?
- 2
What events are booked between October 1 and October 31?
- 3
Find the Rivera couple and their invoice balances.
- 4
Has the contract for this client been signed? Read the cancellation terms.
- 5
Create an unsent invoice draft for this client with these rental items and this tax rate.
Data and privacy
Only records requested through the connection are returned to your assistant. They can include client names and email addresses, event details, invoice balances, and agreement text. Contract signing links, signatures, payment-provider credentials and API keys are excluded. VenueBill does not receive your full assistant conversation through this connector. Records returned to ChatGPT or Claude are subject to that provider’s privacy and retention terms. VenueBill stores application registration, your approved scopes, hashed authorization credentials, and draft retry records; account deletion removes these account-linked connection records. Authorization codes expire within five minutes, access tokens within one hour, and a connection lasts up to 30 days unless revoked sooner. See VenueBill’s Privacy Policy for the broader service terms.
Disconnect or change permissions
- 1
Open VenueBill Settings, then Manage AI connections.
- 2
Choose Disconnect beside the application. Its access and refresh credentials stop working immediately.
- 3
Also remove the custom connector in your assistant if you no longer want it listed there. Disconnecting cannot remove data already returned to that assistant.
- 4
To change permissions or renew an expired connection, start a new connection from the assistant.
Troubleshooting
If a connection request expires, start again from the assistant. If a tool cannot find a record, check the workspace and record ID. Results have a page limit; ask for the next page before treating them as a complete list. For a draft retry, reuse the original request key to prevent a duplicate invoice. If setup still fails, contact support@venuebill.com with the assistant name and error message, without passwords or access tokens.
