VenueBill ("we," "us," "our," or "Company") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our service.

Information We Collect

Account Information

When you create a VenueBill account, we collect information such as your name, email address, business name, phone number, and billing address. This information is required to set up and manage your account.

Usage Data

We automatically collect information about your interactions with our service, including features used, invoices created, estimates sent, payments processed, and other usage patterns. This helps us improve our service and understand how our users work.

Payment Information

When you start a paid plan or a couple makes an online payment through VenueBill, card details are processed securely by Stripe. We do not store full payment card numbers on our servers.

Client and Contact Information

Your invoices, estimates, and client data are stored in your VenueBill account. If a client chooses text reminders, we also store their mobile number, the consent language they accepted, the source of that consent, and the date and time it was recorded. This information belongs to you and remains private to your account unless you choose to share it with your clients.

Device and Connection Information

We collect information about the devices and browsers you use to access VenueBill, including IP address, browser type, operating system, and referring URL. This helps us provide a secure service and understand how our users access our platform.

Data Sharing

Stripe (Payment Processing)

We share payment information with Stripe to process paid subscriptions and couple payments. Stripe handles card details under its own privacy policy and security program.

Mailgun (Email Delivery)

We use Mailgun to deliver transactional emails (invoices, estimates, reminders, notifications). Mailgun receives your email address and the content you choose to send to your clients. Please review Mailgun's privacy policy for more information.

Twilio (Text Message Delivery)

We use Twilio to deliver requested event and payment text reminders. Twilio receives the recipient's mobile number and message content only as needed to provide that service.

Analytics and Marketing Providers

With your consent, we use Google Analytics and Google Tag Manager, Microsoft Clarity, Ahrefs Web Analytics, Meta Pixel and conversion tools, and Google Ads conversion tracking to measure site activity, improve the service, and understand advertising results. These providers may receive device, browser, page, and conversion-event information under their own privacy terms. Non-essential analytics and marketing tools stay off until you choose to allow the applicable category. We do not sell personal information to data brokers.

Legal Requirements

We may disclose your information if required by law, court order, government request, or to protect the rights, privacy, safety, or property of VenueBill, our users, or the public.

Mobile Information and SMS Choices

Mobile information, text-message opt-in data, and consent records are not sold or shared with third parties or affiliates for their own marketing or promotional purposes. We disclose them only to service providers, such as Twilio, that help us deliver and operate messages a recipient requested, or when disclosure is required by law.

Message frequency varies with invoice, payment, and event activity. Message and data rates may apply. Consent to receive texts is not a condition of any purchase. Recipients can reply STOP to opt out or HELP for help. For assistance, contact support@venuebill.com.

Data Retention

We retain your account information and venue records for as long as your account is active. When you delete your account, we remove the account, venue records, message logs, connected payment-customer record, and stored files from the active service.

We retain only your email address and the reason account deleted on a suppression list so automated marketing and lifecycle messages do not contact you again. We may also retain data that was previously aggregated or anonymized so it can no longer identify you. Standard disaster-recovery backups may contain deleted records for up to 30 days before they are rotated out and are not used for ordinary product operations.

You can delete your account directly from account settings. Contact us at support@venuebill.com if you need help with deletion or want us to review the remaining suppression record. We will respond within 30 days.

Your Privacy Rights

Access Your Data

You have the right to access your personal data and request a copy of the information we hold about you. You can access most of this information directly in your account settings.

Correct or Update

You can update your account information at any time by logging into your account or contacting us at support@venuebill.com.

Delete Your Data

You have the right to request deletion of your data. You can delete your account directly from account settings, or contact us for assistance. Account deletion retains the minimal email suppression record described under Data Retention so we honor your request not to be contacted again.

Export Your Data

You have the right to export your data in a portable format. Contact us at support@venuebill.com to request a data export.

Opt Out of Marketing

You can opt out of marketing emails by unsubscribing via the link in any marketing email or by updating your notification preferences in account settings.

Cookies and Similar Technologies

We use cookies to store session information, maintain your login, prevent fraud, and remember your preferences. These are essential for the service to function properly.

With your consent, the analytics and marketing providers named above may also use cookies, pixels, local storage, or similar technologies. You can reject either non-essential category or change your choice later through Cookie settings in the site footer.

Security

We use reasonable technical and organizational measures including encryption in transit, authentication controls, access restrictions, and managed infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

VenueBill is not intended for children under 13 years old. We do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will promptly delete such information.

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or other reasons. We will notify you of significant changes by posting the new Privacy Policy and updating the "Last updated" date at the top of this page.
