Company management software covers the business side of a venue: billing, contracts, staff access, and the records you need at tax time. It sits beside the booking calendar rather than replacing it. Should you pick company software by its feature list or its pricing unit?
Pick by the pricing unit first, because it decides what each extra person costs you. A per-seat price charges again for every staff member who needs a login. A flat account price charges once. Neither is cheaper every time.
Here is a worked example with hypothetical numbers, not any vendor's prices. Say a per-seat tool costs $40 per user a month, and a flat tool costs $120 a month for the whole account. With three users, the per-seat tool costs $120 a month, the same as the flat plan. With six users, it costs $240 a month, or $2,880 a year, against $1,440 a year for the flat plan. The per-seat price only wins at two users or fewer.
Will your staff actually use the software after the first week?
Onboarding decides whether a purchase works, and it is one of the two main complaints in the Capterra survey. According to Capterra's findings as reported by Construction Dive, "more than one-third of companies ran up against higher than expected cost, while slightly fewer were frustrated with difficulties onboarding and training new users." Test the tool with the two least technical people on your team during the trial. If they cannot finish one real task without you, the software will cost more time than its price suggests.
Which one-time fees should you get in writing before you sign?
Get every one-time fee in writing before the trial ends. Setup, data import, and training are the usual ones, and a monthly rate that looks cheap can hide a setup fee that adds up to several months of the plan. Cost was the most common complaint in the same survey, so one-time fees are where to look first.

What happens to your records if you leave the software?
Check what you can export, and in what format, before you sign, because a bad switch is expensive. Ask for a sample export of contacts, contracts, and payments during the trial, then confirm the file opens outside the software.
Can a general-purpose tool handle venue billing?
Not without workarounds. A general tool will invoice a client, but a venue needs a non-refundable booking deposit, a refundable security deposit, and milestone payments tied to one event date. Those are three different rules, and a generic invoice template handles only one of them without help. Before you buy, ask the vendor to show one event with all three running at once. If the answer involves a spreadsheet, the tool covers part of the billing and you still run the rest by hand.
